Reports to: Operations Director
Compensation: $17.25 hourly
Hours: 26-40 hours, on-site per week. Shifts are available from 9:30 AM to 5:30 PM Monday, Wednesday, Thursday and Friday, Tuesday 11 AM to 7 PM.

Job Summary:
The Receptionist is primarily responsible for scheduling patients and managing our patient schedule with our Customer Relationship Management (CRM) system, Apricot Social Solutions. This includes managing and following up with every lead that comes through our google ads and website: around 100+ per month. You’ll be evaluated based on your schedule rates, number of appointments scheduled, show rates, and what percentage our patient population matches our target audience.
You’ll be the first person patients interact with at Sienna Women’s Health and are responsible for setting the tone of professionalism and care. You’ll also be expected to keep our space tidy and welcoming to patients, making and offering them tea and coffee.
We’re looking for someone with exceptional attention to detail, project management and communication skills: keeping patients well taken care of before and after their appointments and keeping the medical staff apprised of everything they need to know. We’re looking for consistency, reliability and independence.
This person will potentially manage the education and distribution aspects of the ministry depending on the number of hours per week, while working in conjunction with a small team of staff members and unpaid volunteers. Ideal candidates will be humble, self-starters with a great attention to detail who enjoy problem-solving and have a heart for non-profit work. Sales and/or medical experience is a plus.
General Responsibilities:
Follow the Mission Statement, Statement of Faith, Handbook and all of the guiding principles of the Family Life Services ministry
Participate in weekly staff meetings, provide ideas/suggestions for improvements.
Other administrative duties as assigned including newsletter mailings, backup for income processing and event-related support
Receptionist Support:
- Answer multi-line phone system, providing high quality customer service among competing priorities & greatly varying demographics
- Respond to patients who call, walk-in, email or submit online scheduling forms
- Closely follow HIPPA policies and confidentiality practices with a high level of integrity
- Greet patients as they arrive and manage patient check-out
- Manage Google Voice and Customer Relationship Management (CRM) software to schedule, reschedule and remind patients of appointments via both phone and text
- Use CRM software to record client communications, update schedule reports and track success metrics like schedule and show rates.
- Provide on-call, off-site phone scheduling availability.
- Sanitize sinks, toilets and counters in bathroom daily.
- Sanitize break room counters, microwave and fridge daily.
- Check inventory.
- Tidy lobby and reception area daily.
- Make patient tea each morning and provide for patients
Education and Material Goods Program (depending on number of hours):
- Process in-kind material donations as they are received
- Supervise and manage trained volunteers during weekly distribution of baby supplies to clients, ensuring shifts are adequately staffed
- Use customer relationship management software to track participation in classes, distribution of material assistance & other impact metrics
Volunteer Support:
- Help recruit, onboard and orient individual volunteers to keep volunteer positions filled
- Assist with planning and coordinating bi-monthly volunteer gatherings, trainings and volunteer appreciation events
Qualifications/Expectations:
- Christian, non-profit, small company experience preferred.
- Comfortable working in a fast-paced environment with several competing priorities
- Excellent verbal and written communication skills and a pleasant phone manner are a must
- Strong customer service and sales ethic, administrative skills, and interpersonal skills
- Bachelor’s degree or associate’s degree preferred
- Applicants with Arabic or Spanish language proficiency are encouraged to apply
